How to use the Time Clock Calculator

  1. Enter your clock-in time — the time you started work. Use the time picker or type directly in 24-hour format (e.g. 08:00 for 8:00 AM, 13:30 for 1:30 PM).
  2. Enter your clock-out time — the time you stopped work.
  3. Check Crosses midnight if your clock-out time is on the next calendar day — for example, a shift from 10:00 PM to 6:00 AM.
  4. Enter unpaid break minutes. Type the number of minutes of unpaid lunch or break (e.g. 30 for a half-hour lunch). If your break is paid, leave it as 0.
  5. Optionally expand More Options to enable punch-clock rounding. Choose nearest 5, 6, 10, or 15 minutes to see both raw and rounded results.
  6. Click Calculate to see net work time, decimal hours, total minutes, and — if rounding is enabled — the rounded clock-in and clock-out times alongside the raw values.

Calculate clock in and clock out time

Time clock calculation is straightforward: subtract the clock-in time from the clock-out time to get the gross elapsed time, then subtract unpaid break minutes to get the net work time. This calculator automates both steps.

The result is shown in three formats at once:

  • Hours and minutes (e.g. 8h 14m) — the most readable format
  • Decimal hours (e.g. 8.23 hrs) — for payroll entry and timesheets
  • Total minutes (e.g. 494 min) — for systems that track time in minutes

Time clock calculation with lunch or breaks

Most employees have one or more unpaid breaks — typically a 30- or 60-minute lunch — that must be deducted from gross shift time before reporting payable hours. Enter the total unpaid break minutes in the Break field.

Example: a shift from 8:00 AM to 5:00 PM (gross: 9 hours) with a 30-minute unpaid lunch yields 8 hours 30 minutes (8.50 decimal hours, 510 minutes) of net work time.

If a break is paid — for instance, a 15-minute paid rest period included in your shift — do not add it to the Break field. Only unpaid minutes should be deducted. Multiple breaks can be combined: two 15-minute unpaid breaks = 30 minutes total.

Raw time vs net work time

Raw time (or gross shift time) is the total elapsed time from clock-in to clock-out before any deductions. Net work time is the payable time after subtracting unpaid breaks. Most payroll systems pay on net hours, not raw elapsed time.

When rounding is enabled, a third distinction appears: rounded work time is the net time calculated from the rounded clock-in and clock-out values, while raw work time is calculated from the original punch times. The calculator shows both so you can see exactly what effect the rounding rule has on your reported hours.

When no break is entered, raw time and net time are equal — only the net figure is shown to avoid redundant display.

Decimal hours for payroll and timesheets

Payroll systems and timesheets typically require decimal hours rather than the familiar hours-and-minutes format. To convert manually: divide the minutes portion by 60 and add to the whole hours.

  • 8h 30m → 8 + (30 ÷ 60) = 8.50 hrs
  • 8h 15m → 8 + (15 ÷ 60) = 8.25 hrs
  • 8h 10m → 8 + (10 ÷ 60) = 8.17 hrs
  • 7h 45m → 7 + (45 ÷ 60) = 7.75 hrs

This calculator always shows decimal hours alongside the hours-and-minutes and total-minutes figures. Decimal hours represent net work time only — not gross shift time — which is the figure most payroll entry forms expect.

Time clock rounding

Many employers use punch-clock rounding to simplify payroll processing. Instead of recording exact punch times (e.g. 08:07), they round to the nearest interval — typically 5, 6, 10, or 15 minutes. Expand More Options and choose a rounding interval to see the effect on your work time.
