How to use the Employee Hours Calculator

Step by step

  1. Enable each work day using the checkbox. Days that are unchecked are skipped entirely. Monday through Friday are enabled by default.
  2. Enter clock-in and clock-out times for each enabled day. Use the time picker or type the time directly. On desktop browsers, times appear in 24-hour format (e.g., 17:00 for 5:00 PM).
  3. Enter unpaid break minutes. Type the number of minutes of unpaid break for each day (e.g., 30 for a half-hour lunch). Enter 0 if the break is paid or there is no break.
  4. Check Overnight for any shift that ends after midnight — for example, a shift starting at 10:00 PM and ending at 6:00 AM.
  5. Expand Pay and overtime options if you want an estimated gross pay figure. Enter an hourly rate and adjust the overtime threshold (default 40 hrs/week) and multiplier (default 1.5×) to match your policy. Leave the rate blank to see hours only.
  6. Click Calculate to see weekly net hours. By default, results show total hours only. Expand Pay and overtime options before calculating to add an overtime split or an estimated gross pay figure.

Regular and overtime hours

When Pay and overtime options are expanded, the calculator compares weekly net hours against the overtime threshold. Hours at or below the threshold are regular hours; hours above it are overtime hours.

The default threshold is 40 hours per week and the default multiplier is 1.5×. Overtime rules vary by employer, location, industry, and employment contract — adjust both values to match your payroll policy. No legal or compliance determination is made by this calculator.

Example: 43 net hours with a 40-hour threshold gives 40 regular hours and 3 overtime hours. At $22.00/hr with a 1.5× multiplier — regular pay $880.00, overtime pay $99.00, estimated gross pay $979.00.

Estimated gross pay and payroll entry

Expand Pay and overtime options and enter an hourly rate to see estimated gross pay alongside the hours breakdown. The calculator multiplies regular hours by the hourly rate and overtime hours by the overtime rate (hourly rate × multiplier), then sums the two amounts. If no hourly rate is entered, only the hours and overtime split are shown — no pay estimate.

This is a pre-tax estimate only. It does not include payroll taxes, Social Security, Medicare, health insurance premiums, retirement contributions, garnishments, or any other withholdings. The actual amount an employee takes home will be lower. Use this figure as a starting point for payroll data entry — not as a final payroll calculation. Process payroll through your payroll provider or software.

Overnight and irregular shifts

For shifts that cross midnight, check the Overnight checkbox for that day. Enter the shift start time as clock-in and the next-day end time as clock-out. For example: clock-in 22:00, clock-out 06:00, Overnight checked. The calculator adds 24 hours to clock-out before computing the shift, correctly yielding 8 hours. Without the Overnight checkbox, clock-out would appear to be before clock-in and the calculator would show an error.

This calculator handles one standard shift per day. It does not support multiple punch pairs in a single day (such as split shifts). For multiple punch-in / punch-out pairs in one day, use the Time Punch Calculator.
